FISPAN Services Inc. (FISPAN) is an Enterprise SaaS FinTech company that allows banks to deploy embedded financial products and services to create a seamless banking connection for their corporate clients. Our product aims to provide instant scale and reach for banks who want to remove friction and add value by enabling their commercial banking clients to access banking services through their preferred ERP / accounting platform.
Founded in 2016 and headquartered in downtown Vancouver, FISPAN is on a mission to create the best product in the FinTech industry and fundamentally change the way that companies bank. Being the market leader in ERP Banking, we work with the world’s Tier 1 banks with assets exceeding $3T, including J.P. Morgan Chase, Wells Fargo, TD and Bank of Montreal.

Key Responsibilities
- Office Management:
- Serve as the first point of contact for the office: greet visitors, answer and direct phone calls, and manage the main company email inbox.
- Manage all incoming and outgoing mail and deliveries.
- Monitor and maintain office supply inventory, placing orders as needed.
- Ensure common areas (reception, kitchen, conference rooms) are clean, organized, and well-stocked.
- Liaise with building management, vendors, and service providers (e.g., cleaning, IT, maintenance).
- Administrative Support:
- Coordinate calendars, schedule meetings, and book conference rooms for multiple team members or executives.
- Assist in planning and coordinating company events, meetings, and team-building activities.
- Book and manage travel arrangements (flights, hotels, transportation) for staff.
- Prepare and edit correspondence, reports, presentations, and meeting agendas/minutes.
- Data & Financial Support:
- Assist with basic bookkeeping tasks, such as processing expense reports, managing petty cash, and preparing purchase orders.
- Perform data entry and maintain organized digital and physical filing systems.
- Assist with tracking invoices and updating records.
- HR & Team Support:
- Assist with the new hire onboarding process (e.g., preparing paperwork, setting up workstations).
- Act as an internal resource for staff, answering general questions and directing them to the appropriate person or policy.
- Support special projects and perform other administrative duties as assigned.
Qualifications & Skills
Required:
- 3+ years of proven experience in an administrative, office management, or similar role.
- High proficiency with the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and/or Google Workspace.
- Exceptional organizational, multitasking, and time-management skills with a keen attention to detail.
- Strong verbal and written communication skills; professional and courteous demeanor.
- Proven ability to be proactive, take initiative, and solve problems independently.
- Ability to handle confidential information with discretion and integrity.
- Reliable, punctual, and professional.

Compensation Package
FISPAN believes in an atmosphere and culture when innovation can flourish, collaboration and teamwork are valued and transparency is at the core of it all. We want our employees to see how the ideas they help generate today have an impact on how we do business tomorrow.With that, the hiring salary range for this position is $45,000 to $55,000 annually; the base pay offered is based on comparable market data from companies of similar employee size, revenue and location. As part of our total rewards offering, permanent employees in this position may be eligible for our competitive semi-annual bonus program, subject to program eligibility requirements.
